Privacy Policy

This policy explains what business information GELENTEX collects through this website, why we collect it, how long we keep it and who we share it with. It is written to describe the platform as it actually behaves.

Last updated: October 2026

01

Scope

This policy covers the GELENTEX website and the business information you submit through it. It applies to trade buyers, distributors, agents and other business contacts. The site is a B2B platform: it does not sell to consumers and it does not process consumer accounts.
02

Information we collect

We only collect what a commercial enquiry requires. When you submit a quotation request, contact form, wholesale intake or distributor application we record: your first and last name, business email address, optional telephone number, company name, country and the content of your message. Wholesale and distributor forms additionally capture the product category, estimated quantity, preferred incoterm, target timeline and, for distributor applications, the territory and anticipated annual container volume.
We also record technical information automatically: the IP address and user agent associated with a submission, and the timestamp. This is used for fraud and spam prevention, and for the audit trail described below.
We do not collect payment card data. The website does not process payments.
03

Why we use it

To respond to your enquiry and prepare a commercial quotation; to assess distributor applications against territory availability; to issue technical documentation (TDS, SDS, COA) and compliance records; to maintain an internal record of who contacted us about what, and when; and to meet our own legal, customs and export-control obligations.
We do not sell your information, and we do not use it for third-party advertising.
04

Legal basis

Where the EU or UK GDPR applies, we rely on legitimate interests for responding to business enquiries and on the performance of a contract or pre-contractual steps for quotations and distributor agreements. Where we are required to keep records for tax, customs or export-control purposes we rely on legal obligation.
05

Cookies

This site sets no advertising or third-party tracking cookies. It sets a single functional cookie that stores your authentication session if you sign in to the administration panel, and a non-identifying hint cookie that only controls whether an “Admin Panel” shortcut is displayed to a signed-in administrator. Anonymous visitors are not tracked.
Aggregate, cookie-less page-view statistics may be collected to understand which product lines attract interest. This data is not linked to any individual.
06

How long we keep it

Enquiry and quotation records are retained for as long as the commercial relationship is active, and for a limited period afterwards so that we can evidence the history of a supply agreement. Records tied to customs, export or tax obligations are kept for the period required by the applicable jurisdiction.
A placeholder retention period of 36 months from last contact is currently applied to dormant enquiry records; confirm this figure with counsel before publication.
07

Who we share it with

Our hosting and database providers, who process the data strictly on our instructions and under written data-processing terms. This includes our cloud database provider (Supabase) and our application hosting provider (Vercel).
Freight forwarders, inspection agencies (for example SGS) and customs brokers, but only where a shipment or an audit has actually been instructed by you.
Professional advisers and authorities where we are legally required to disclose.
08

International transfers

Our infrastructure is hosted in data centres that may be located outside your own jurisdiction. Where personal data leaves the EEA or the UK, transfers are covered by the applicable standard contractual clauses offered by our providers.
09

Security

Access to enquiry data is restricted to authenticated staff accounts on the administration panel. Passwords are stored using a modern one-way hashing function, all traffic is served over TLS, and every mutating action in the panel is written to an append-only activity log.
10

Your rights

Subject to the law that applies to you, you may request access to the information we hold about you, ask us to correct it, ask us to delete it where we have no overriding obligation to retain it, or object to a particular use.
Requests should be sent to the contact address published on our contact page. We will respond within one month.
11

Changes

If this policy changes materially we will update the date at the top of this page. Continued use of the site after an update constitutes acceptance of the revised policy.
